To support this, we are looking for an Administration Assistant (Intern) - a 6‑month internship designed to help you learn, grow, and take confident steps in your professional journey.
Key Responsibilities:
- Office and correspondence support: Conduct daily checks of the central mailbox, inquiries, and coordinate timely follow-up; provide general office operations support and logistics.
- Data stewardship and quality: Perform weekly data maintenance in enterprise systems, maintain authorization/registry records and support basic data audits for accuracy and completeness.
- Document and records management: Organize and upload agreements and key documents to designated repositories on a regular cadence, ensuring proper filing and accessibility.
- Vendor and procurement administration: Create and update vendor records upon request; initiate and process simple purchase orders (single-line POs) and track status with stakeholders.
- Event and facilities support: Assist with internal seminars, meetings, and office moves, coordinating logistics, materials, and schedules as needed.
- Ad hoc administrative support: Partner with teams to address routine requests and improve process documentation.

- Attention to detail: You’re careful, thorough, and committed to keeping information accurate.
- Document management skills: You’re comfortable working with structured filing systems and digital repositories like SharePoint.
- Clear communication: You express yourself clearly, both in writing and verbally, and feel confident coordinating with different stakeholders.
- Digital proficiency: You know your way around Microsoft 365 (Outlook, Excel, Word, Teams), and you’re open to exploring AI tools.
- Problem‑solving mindset: You’re proactive, curious, and not afraid to suggest improvements to everyday processes.
- Team orientation: You enjoy working with others, stay reliable, and adapt well when priorities shift.
- Good written and verbal English skills, as you’ll work with international teams, systems, and materials.
